Position Summary: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our People Solutions Chief Operating Officer (COO). This role requires excellent communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will be a strategic partner, managing the COO’s schedule, preparing reports, coordinating meetings, and ensuring efficient operations of the executive office.

Key Responsibilities:

  • Draft and edit professional communications, reports, spreadsheets, and presentations, ensuring accuracy in grammar, tone, and formatting.
  • Manage and prioritize digital and physical correspondence, identifying time-sensitive items and ensuring timely action on behalf of the COO.
  • Serve as the first point of contact for inbound communications—screening calls, emails, and messages with professionalism and discretion, and routing them efficiently.
  • Act as a key liaison for the COO, providing a high level of client and stakeholder engagement via phone, video, and in-person interactions.
  • Maintain regular check-ins with the COO to align priorities, follow up on action items, and adjust timelines or deliverables as needed.
  • Plan and coordinate internal and external events (e.g., offsites, team meetings, executive briefings), including logistics, catering, and vendor coordination.
  • Manage complex travel arrangements, domestic and international—including bookings, itineraries, documentation, and expense optimization.
  • Own the end-to-end expense process, including collecting receipts, preparing reports, tracking reimbursements, and reconciling corporate credit card transactions using Concur.
  • Attend meetings and executive briefings, capture key takeaways and action items, and distribute clear, timely summaries to relevant stakeholders.
  • Schedule, confirm, and manage high-level meetings with internal leaders, partners, and external stakeholders across multiple time zones.
  • Act as a culture champion and trusted partner—demonstrating professionalism, adaptability, confidentiality, and a collaborative mindset in all interactions.

Qualifications

Qualifications:

  • Bachelor’s degree in business administration, Communications, or a related field — or equivalent combination of education and relevant experience.
  • 5+ years of experience supporting C-level or senior executives in a fast-paced, high-growth, or matrixed organization.
  • Exceptional communication skills—verbal, written, and interpersonal—with the ability to engage confidently and professionally across all levels of the organization and with external partners. Meticulous attention to detail with a demonstrated ability to follow through and ensure task completion with accuracy and accountability.
  • Proven organizational and time management abilities, with a proactive approach to prioritizing tasks, solving problems, and meeting deadlines under pressure.
  • High level of confidentiality, discretion, and judgment in handling sensitive information and high stakes matters.
