Job Description

Legal Secretary - Commercial Litigation

Compensation: $73k - $96k annually

We are seeking an experienced and detail-oriented Legal Secretary to join a dynamic commercial litigation team. The ideal candidate thrives in a high-stakes, fast-paced environment and demonstrates strong organizational, problem-solving, and communication skills. This individual will play an essential role in ensuring the efficient handling of commercial litigation matters from case inception through trial and post-trial phases.

Position Summary

The Legal Support Specialist supports attorneys in all stages of complex commercial litigation, including document production and management, legal research, deposition and trial preparation, and coordination with courts and opposing counsel. This role requires a deep understanding of litigation procedures, meticulous attention to detail, and the ability to manage multiple priorities with precision and discretion.

Key Responsibilities

  • Drafts litigation documents including complaints, answers, motions, subpoenas, and discovery materials
  • Prepares motion binders and trial notebooks tailored for commercial disputes
  • Assists with all phases of discovery, including document review and preparation of deposition materials
  • Conducts analysis and summaries of deposition transcripts, witness interviews, and commercial contracts
  • Oversees electronic and hard copy case file organization for complex, document-heavy matters
  • Coordinates e-filings in Federal, Circuit, and State courts, ensuring compliance with procedural rules
  • Performs cite-checking and proofreading of briefs, pleadings, and legal memoranda
  • Prepares correspondence, reports, and other documentation from various formats
  • Coordinates attorney calendars, court deadlines, depositions, client meetings, and travel
  • Processes attorney time entries, billing, reimbursements, and docketing as needed
  • Communicates effectively with clients, court staff, and opposing counsel in a professional manner
  • Provides litigation support including printing, scanning, and managing exhibits and court submissions
  • Assists with general administrative tasks as needed to support the legal team

Qualifications

Skills & Competencies

  • In-depth knowledge of commercial litigation procedures and court rules
  • Proficient in managing large-scale document productions and complex case files
  • Strong legal research and writing support skills
  • Excellent attention to detail, organizational abilities, and time management
  • High level of professionalism and discretion with confidential information
  • Ability to work well under pressure and manage multiple competing deadlines
  • Exceptional verbal and written communication skills

Education & Experience

  • Bachelor's Degree or equivalent experience preferred
  • Minimum 5+ years of experience supporting commercial litigation attorneys

Technology

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Skilled in legal document management systems and e-filing platforms
  • Ability to quickly learn and adapt to new legal software and technologies

Work Arrangement:

Hybrid schedule: 3 days in-office, 2 days remote
